Description 

The IT and Facilities Associate will provide day-to-day help desk support and administrative support for the IT and Facilities teams. Under the supervision of the Director of Operations, with day-to-day assignments planned with IT and Facilities colleagues, the IT and Facilities Associate will assist with routine functions to support the IT and Facilities needs of the organization.

Location: In-office 1-2 days per week, subject to director's discretion.

Responsibilities 

Information Technology (50 percent) - comprised of help desk/tech support, cybersecurity, networking, hardware, software, and administration

  • Perform the day-to-day operations of help desk functions including but not limited to the maintenance of laptops, docking stations, printers, smartphones, and other office equipment with IT components
  • Monitor all help desk tickets, delegating or escalating issues to other IT Team staff as appropriate and needed
  • Provide support and training to users and troubleshoot their hardware and software problems
  • Assist the IT Department with maintaining an accurate inventory of all technology equipment (hardware), software licenses, and warranties
  • Assist Tech Team with installation, upgrades, and troubleshooting of other computer hardware and software as requested
  • Work with the IT Team to train new and existing staff in technology platforms, equipment, and policies
  • Support the IT Team in onboarding and offboarding, assisting with tasks including equipment and account set-up
  • Assist in checking on our servers and hardware in the server room on a regular basis 
  • Remain available during regular working hours to help in the event of an emergency or outage if necessary 
  • Back up the Technology Manager (cyber/information security) or Technology Support Manager (network) in their absence as appropriate

Facilities and Office Services (40 percent)

  • Receive and direct deliveries and other general reception duties
  • Sort and distribute incoming/outgoing mail and shipping
  • Provide mailing and shipping support to staff and oversee accounts
  • Assist with bulk mailings
  • Restock and organize office supplies on all floors, including bottled water delivery, stationery, mailing, and shipping supplies
  • Serve as secondary staff contact with the building superintendent and management company for building and office space needs in the absence of the Facilities and Office Services Manager (FOSM)
  • Help train employees on the use of office equipment, office safety protocols, emergency preparedness and response, and other relevant procedures
  • Work with the FOSM to schedule and supervise contracted maintenance and repair services for electrical, plumbing, heating/cooling systems, and office cleaning
  • At the request of FOSM, schedule shredding, and carting services as needed
  • Provide logistical support to track and distribute office keys 
  • Assist the FOSM with logistics for internal staff events, such as parties and social gatherings, as requested
  • Back up the FOSM in their absence
  • Perform other duties and projects as assigned by FOSM and approved by the Director of Operations

 Other (10 percent)

  • Provide other administrative support to the Operations Department as requested, such as filing, scanning, mailing, and research
  • Participate in departmental and organizational planning and projects and organization-wide committees, and carry out work as assigned
  • Perform other duties and projects as assigned by the Director of Operations

Qualifications 

  • Minimum of two (2) years of related experience; preferably in an IT/help desk role
  • A belief in the mission of the Center for Constitutional Rights demonstrated commitment to social justice issues, and comfort working in a progressive legal environment
  • Familiarity with server and desktop equipment/software and end-user support in a medium-sized networked environment
  • Basic knowledge of networking in a PC/Windows environment, server and workstation operating software, Exchange and Microsoft Office, and other application software
  • Basic understanding of software for encryption, secure SMS, VPNs, password management, and other digital security applications
  • Strong organizational and time management skills, proven ability to plan and meet deadlines, and efficiently manage multiple tasks and priorities under tight deadlines
  • Strong attention to detail and grace under pressure
  • Excellent problem-solving skills, including ability to anticipate problems and use judgment appropriately to plan solutions
  • Excellent interpersonal and research skills
  • Self-starter with the ability to work both independently and as a member of a team

Compensation 

Salary is commensurate with experience and subject to the union's collective bargaining agreement. The salary range for the position is $85,066 through $110,849.
